Registration Instructions

IMMUNOLOGY2022™ attendees WILL NOT HAVE THE OPTION OF REGISTERING IN-PERSON once on site at the Oregon Convention Center.
You MUST first register remotely from anyplace with internet access. While we encourage you to register BEFORE traveling to Portland, you can register once you are in Portland. 

Why register before the meeting? It is less costly, but, importantly, you must provide proof of vaccination (POV) and that may take up to 48 hours to be validated by the HIPAA-compliant vaccine validation company.

Again, you will not be able to walk to a Registration Desk, register, pay a fee and immediately attend the meeting.

  • All attendees are required to provide POV demonstrating they are fully vaccinated as defined by the CDC.
  • Fully vaccinated is “everyone 12 years and older has received a primary series of COVID-10 vaccine”.
  • All attendees must be fully vaccinated BY APRIL 22, 2022 (14 days prior to the start of the meeting).
  • A negative COVID-19 test is NOT a substitute for being fully vaccinated against COVID-19.

Below are registration details to help you through the process. Please reach out to meetings@aai.org if you have any further questions or need more information and/or instructions.

STEP 1

You have registered prior to arriving in Portland. Now you must have your POV validated.

  • Once registered, you will receive a TEXT from the HIPAA-compliant vaccine validation company, 42Chat/HealthShield. The text will come from 866-413-3192.
  • If you DO NOT receive a text from 866-413-3192 with 24-hours, please text “Hi” to 866-413-3192. Your text will immediately be answered with upload instructions.
  • For international attendees, or those without access to a cellphone, please use this link
  • It will take 24-48 hours for 42Chat/HealthShield to validate your POV. Once your POV has been validated, a text will be sent will a big green checkmark on it, as shown at right. You will receive this text again, the day before registration opens (Friday, May 6, 2022).
  • Once your POV has been validated, you are ready for STEP 2 once you’ve arrived in Portland.

STEP 2

Once in Portland, to complete your registration, the next step is to have your POV validation verified.

  • AAI is requiring that all POV validations be verified. This verification will take place PRIOR to being able to register for the meeting.
  • The verification will be done at the POV Validation Checkpoints.
  • Once verified, you will be issued a wristband to wear for the duration of IMMUNOLOGY2022™.
  • You only have to go through this process once.

There are two (2) locations on where the Validation Checkpoints can be found:

LOCATION 1: AAI Hotels
  • The following AAI hotels (Courtyard Portland Downtown, Crowne Plaza Downtown, DoubleTree by Hilton, The Hilton Downtown, and Hyatt Regency Portland) will have a manned desk for IMMUNOLOGY2022™ attendees’ POV validation to be verified. Even you may not be staying at one of these hotels, you may still go and get your verification done there.
LOCATION 2: Oregon Convention Center (OCC)
  • All IMMUNOLOGY2022™ attendees are asked to enter the OCC at the MLK Street Entrance.
  • From that entry point, you will be guided to the OCC POV Validation Checkpoints. There will be multiple manned tables to expedite the process.

The hours for both locations are:

  • Thursday, May 5, 9:00 AM – 5:00 PM PT
  • Friday, May 6, 10:00 AM – 6:00 PM PT
  • Saturday, May 7, 7:00 AM – 3:00 PM PT
  • Sunday, May 8, 7:00 AM – 3:00 PM PT
  • Monday, May 9, 7:00 AM – 3:00 PM PT

PLEASE NOTE:

  • If you HAVE NOT been through the verification process at a hotel, you WILL be required to be check-in at the OCC Check-In Kiosks.
  • If you HAVE been through the verification process at a hotel and you have a wristband, you WILL NOT be required to go through it again. You may go into the OCC and collect your bag, badge, and registration materials.

FAQ

What is the verification process?

  • Once at a POV Validation Checkpoint, staff will ask to see the validation text message from 42Chat/HealthShield (866-413-3192) and an official government-issued photo ID. (PLEASE NOTE: 42Chat/HealthShield will be sending a second text with the green checkmark validating your POV on Thursday, May 5 just so it is easier to find,)
  • Staff will confirm the name on the text validation with the name on ID, and that the photo on the ID matches the individual presenting the ID.
  • If all is correct, staff will place a water-resistant wristband, to be worn throughout the meeting, on the wrist of the verified attendee. PLEASE NOTE: if the wristband is somehow lost or removed, the attendee will be required to go through the verification process again.

I have a wristband, now what?

  • You may go directly to the IMMUNOLOGY2022™ Registration Desk and finalize your registration, receive a meeting badge and materials, and attend the meeting.

What if I have registered but I haven’t uploaded my POV prior to arriving in Portland?

  • If your POV HAS NOT BEEN validated by 42Chat/HealthShield, you will need to get this done prior to being able to be verified at the POV Validation Checkpoint.
  • If you are not verified at the POV Validation Checkpoint, you will not be able to complete your registration for IMMUNOLOGY2022™.
  • Recent COVID test results will not be accepted in place of the validated POV.
  • Exemptions will not be considered at this time. The deadline for applications for exemptions was April 1, 2022.

Getting verification of your POV once you are in Portland:

  • Text “Hi” to 866-413-3192.
  • Upload instructions will be texted back.
  • Follow the instructions as provided.
  • PLEASE NOTE: While you can upload your POV at any time, the immediate response team will only respond within these times.
    Thursday, May 5, 11:00 AM – 5:00 PM PT
    Friday, May 6, 9:00 AM – 5:00 PM PT
    Saturday, May 7, 9:00 AM – 3:00 PM PT

What if I haven’t registered yet?

  • You will not be able to register for IMMUNOLOGY2022™ at the OCC. Registering onsite can be done only with the following guidelines:
    • Meeting registration must be done remotely (e.g., online from your hotel room).
    • You will need to get your POV validated by 42Chat/HealthShield, before being able to be verified at the POV Validation Checkpoint.
    • If you are not verified at the POV Validation Checkpoint, you will not be able to register for IMMUNOLOGY2022™.
    • Recent COVID test results will not be accepted in place of the validated POV.
    • Exemptions will not be considered at this point in time.

Once successfully registered, you will need to get validation of your POV.
